Effective Date 10 September 2026
Version 2.0
This Notice applies whenever the QUOTAH individual-user Service extracts, classifies, estimates, summarizes or generates an Output using software rules, optical character recognition, cost intelligence or artificial intelligence.
Every Output is preliminary, automated and unapproved until a qualified human has reviewed it against the complete project information.
1 Supported Functions
Depending on your Account and selected Order, QUOTAH may process BOQ spreadsheets, specifications and drawings in PDF format, manually entered project information and scanned documents. The Service may produce project summaries, indicative cost ranges, BOQ classifications, RFQ packages, spreadsheet exports and reports identifying possible gaps, conflicts, assumptions or risks.
Accepted CAD or BIM files are used only as reference material unless the Order expressly states that structured model processing is included.
2 How Automated Outputs Can Fail
An automated Output may look complete while containing an error or omission. Common causes include an unclear or incomplete file, poor scan quality, optical-character-recognition error, inconsistent drawings, hidden notes, conversion error, duplicated item, missing item, incorrect unit, incorrect quantity, outdated source, unsuitable classification or an unsupported document format.
The Service cannot inspect physical conditions, verify design intent, detect every conflict, confirm the completeness of all project documents or determine facts that are not available in the submitted material.
3 Indicative Cost Information
A QUOTAH cost range or estimate is indicative. It is not a supplier quotation, contractor offer, approved budget, bill, valuation, final tender price or guarantee that a third party will transact at that amount.
Cost information may be affected by region, source date, market movement, product availability, specification, brand, quantity, waste, productivity, logistics, customs, tax, site access, program, labor conditions, commercial terms, risk allocation and exclusions.
Review every rate, quantity, unit, assumption, regional factor, source date and confidence indicator. Obtain current quotations and qualified cost review before using an estimate for a material decision.
4 RFQ Drafts
An RFQ Output is a draft for your review. It may omit or duplicate an item, classify an item incorrectly, misread a specification or drawing, or miss a delivery, installation, testing, warranty, compliance, commercial or site requirement.
QUOTAH does not send an RFQ to a third party through the individual-user Service unless that function is expressly launched under separate terms. You are responsible for reviewing and approving the final content, recipients, issue date, scope, qualifications, exclusions and commercial instructions before any external use.
5 Mandatory Human Review
A qualified person must review an Output before it is used for bidding, procurement, construction, engineering, design coordination, quantity certification, contracting, financing, budgeting, tax, claims, insurance, safety, project approval or a statutory submission.
If you are not qualified to conduct the review, obtain review from an appropriately qualified engineer, quantity surveyor, estimator, procurement specialist, lawyer, tax adviser, safety professional or other specialist relevant to the decision.
6 No Professional Certification
QUOTAH does not act as engineer of record, architect of record, quantity surveyor of record, contractor, supplier, broker, procurement agent, legal adviser, tax adviser, lender, insurer or government approval authority through the individual-user Service.
An Output must not be described as certified, guaranteed, audited, field-verified, professionally approved or legally binding unless a qualified person with the required authority has independently reviewed and approved it.
7 User Responsibility
You are responsible for selecting the correct files, providing accurate instructions, confirming that the uploaded set is complete, reviewing the Output and deciding whether and how it may be used or shared.
You must not rely on an Output where a visible error, missing document, low-confidence result, unsupported format, unresolved conflict or material assumption requires further review.
8 Data and Model Use
Relevant file text, extracted data, prompts and limited technical identifiers may be processed by authorized AI and infrastructure providers only as needed to perform the requested function, subject to applicable contractual, security and data-protection controls.
Confidential project files and personal data are not used to train general public AI models without separate, explicit consent. Cross-customer learning or intelligence is used only after de-identification and the required permission.
9 Corrections and Technical Problems
If an Output is incomplete, corrupted, unavailable or affected by a technical failure, contact info@quotah.io with the Account email, Order reference, file name, processing time and a description of the issue.
A verified technical failure may be addressed through reprocessing, correction, restoration or return of Credit, an Account adjustment or a refund under the Payment, Cancellation and Refund Policy. A difference of professional opinion or later market pricing is not by itself a technical failure.
10 Acceptance
By confirming an AI-assisted processing request, you acknowledge that the Output is preliminary, may contain errors or omissions and requires qualified human review before any material or external use.
